POSITION DESCRIPTION

Title: Assistant to the Investment Management Team – Investment Unit
Reports to: Vice-President Operations - Investment Unit
Location: United States
Work Arrangement: Full time - Hybrid, based on role requirements and location

We are seeking a detail-oriented and rigorous Assistant to the Investment Management Teams to support the Investment Unit in its daily operations and ongoing development. This role plays a critical part in ensuring the efficiency, accuracy, and compliance of investmentrelated processes, including client servicing support, account administration, documentation management, investment proposal preparation, and portfolio support, under the supervision
of licensed advisors.

The Assistant to the Investment Management Team does not provide investment advice and operates strictly within defined procedures and compliance guidelines, contributing to a structured, disciplined, and fully compliant investment process.

KEY RESPONSIBILITIES

Investment Team Support & Operations
• Support the Investment Unit in the execution of daily operational tasks, projects, and initiatives.
• Assist Investment Advisors with administrative and operational support.
• Respond to basic client and internal email inquiries, as appropriate, and escalate when necessary.
• Contribute to the smooth coordination of investment-related workflows.

Account Administration & Documentation
• Support the investment account opening process and coordinate required client documentation.
• Ensure all client and account documentation is accurate, complete, and up to date.
• Maintain organized and compliant records in accordance with firm and regulatory requirements.

CRM, Data Entry & Systems
• Ensure CRM records are properly maintained and up to date.
• Enter and maintain accurate data in internal systems, including Activity Capture and Rollover Comparison tools.
• Complete and track action items within securities and portfolio management software.

Investment & Market Support
• Prepare investment proposals and related materials for review by Investment Advisors.
• Distribute market updates and client communications prepared or approved by licensed advisors.
• Assist in preparing materials for client meetings and internal reviews.

Compliance Support
• Support the Investment Unit in meeting all federal, state, and firm regulatory requirements.
• Follow internal compliance procedures and escalation protocols.
• Handle sensitive client and financial information with the highest level of confidentiality and professionalism.

SKILLS & QUALIFICATIONS

• Must be fluent in French and have excellent command of English.
• Strong organizational and time-management skills with high attention to detail.
• Ability to work collaboratively within a team environment.
• Strong written and verbal communication skills.
• Professional client-service–oriented mindset.
• Ability to work collaboratively within a team environment.
• Comfort handing confidential and sensitive client information.
• Proficiency with CRM systems and office productivity tools (Microsoft Office, Google Workspace, etc.).
• Familiarity with the finance or wealth management environment is an asset.

EXPERIENCE

• Experience in an administrative, client service, or financial services support role preferred.
• Experience supporting financial advisors or investment teams is a plus.
• Experience working in a regulated or compliance-driven environment is an asset.
